Working closely with the HR Manager and HR Business Partner, the successful candidate will help deliver key human resource initiatives while supporting employees and managers throughout the employee lifecycle.

About the Role

The HR Advisor will play an important role in supporting day-to-day HR activities while ensuring smooth execution of people-related processes. From recruitment coordination and onboarding to employee engagement and HR reporting, this position contributes to creating a positive workplace culture and delivering an exceptional employee experience.

The role also serves as a trusted point of contact for employees and managers, helping ensure HR processes are handled efficiently, professionally, and in compliance with company policies.

Key Responsibilities

Talent Acquisition and Recruitment Coordination

  • Coordinate recruitment activities from candidate communication to interview scheduling.

  • Support offer preparation and recruitment administration processes.

  • Maintain candidate databases and talent pipelines for future hiring needs.

  • Assist with workforce planning through recruitment reporting and talent tracking.

  • Coordinate onboarding activities to ensure a smooth transition for new employees.

Employee Lifecycle Management

  • Maintain accurate employee records and personnel files.

  • Coordinate probation reviews, employee confirmations, promotions, transfers, and exits.

  • Prepare employment contracts, letters, and HR documentation.

  • Support employee offboarding and clearance processes.

Employee Relations Support

  • Assist with employee relations activities, including disciplinary and grievance procedures.

  • Maintain employee relations records and documentation.

  • Support investigations and case administration under HR leadership guidance.

  • Escalate employee concerns and potential risks when necessary.

Learning and Development Administration

  • Coordinate employee training programs and development initiatives.

  • Manage training schedules and participant communications.

  • Maintain learning records and development dashboards.

  • Support internship, graduate trainee, and talent development programs.

  • Track completion of mandatory training requirements.

Employee Engagement and Workplace Culture

  • Support employee engagement and wellness initiatives.

  • Coordinate employee events, recognition programs, and workplace activities.

  • Assist with employee surveys and feedback collection processes.

  • Support implementation of employee engagement action plans.

HR Compliance and Governance

  • Ensure employee documentation meets company policy and legal requirements.

  • Support HR audits and compliance reviews.

  • Assist with payroll data preparation and employee information validation.

  • Monitor adherence to HR processes and escalate compliance risks.

HR Reporting and Systems Administration

  • Maintain HR dashboards, trackers, and management reports.

  • Ensure employee information within HR systems remains accurate and up to date.

  • Generate reports covering workforce metrics such as:

    • Headcount

    • Employee turnover

    • Recruitment activity

    • Training participation

    • Employee engagement

  • Support HR analytics and reporting requests for leadership teams.

Required Qualifications

Educational Requirements

Candidates should possess:

  • A Bachelor's degree in Human Resource Management, Business Administration, Psychology, or a related field.

  • Active membership with the Institute of Human Resource Management (IHRM).

  • CHRP certification or progress toward certification is considered an advantage.

Professional Experience

Applicants should have:

  • 2 to 4 years of experience in Human Resources, HR Operations, HR Administration, or a related field.

  • Experience supporting recruitment and talent acquisition processes.

  • Experience managing employee lifecycle activities and HR documentation.

  • Experience preparing HR reports and supporting employee engagement initiatives.

  • Hands-on experience using Human Resource Information Systems (HRIS).

Preferred Experience

Additional consideration may be given to candidates with experience in:

  • Workday HRIS platforms.

  • Marketing, advertising, media, communications, agency, or professional services environments.

  • Supporting multiple departments and stakeholders within complex organizations.
