About the Role

The Patient Care Specialist serves as a key point of contact for patients, helping ensure positive interactions throughout their healthcare journey. The role involves appointment scheduling, patient communication, record management, and collaboration with healthcare teams to provide efficient and professional support.

Key Responsibilities

Patient Support and Communication

  • Provide professional, compassionate, and responsive support to patients.

  • Address patient inquiries through phone calls, emails, and other communication channels.

  • Deliver a positive and welcoming experience for every patient interaction.

Appointment Scheduling and Coordination

  • Manage appointment bookings and scheduling activities.

  • Optimize calendars to improve appointment efficiency.

  • Coordinate scheduling adjustments and manage appointment availability when necessary.

Patient Records Management

  • Maintain accurate and up-to-date patient records within EHR and EMR systems.

  • Verify patient information and ensure all required documentation is completed before appointments.

  • Support data accuracy and confidentiality standards.

Problem Resolution

  • Handle patient concerns professionally and efficiently.

  • Use strong conflict-resolution techniques to address issues while maintaining a patient-first approach.

  • Escalate complex concerns when appropriate.

Team Collaboration

  • Work closely with clinical and administrative staff.

  • Support operational workflows that improve patient satisfaction and service delivery.

  • Contribute to a collaborative and efficient healthcare environment.

Required Qualifications

Candidates should possess the following skills and experience:

  • Experience using Electronic Health Records (EHR) and Electronic Medical Records (EMR) systems.

  • Knowledge of healthcare compliance standards, including OSHA and HIPAA requirements.

  • Strong verbal and written communication skills.

  • Excellent conflict-resolution and interpersonal abilities.

  • High attention to detail and organizational skills.

  • Ability to manage multiple tasks in a fast-paced environment.

  • Strong problem-solving and time-management capabilities.

Work Schedule

The position requires approximately:

  • 26 hours per week

  • Working hours scheduled between 3:00 AM and 3:00 PM (Kenyan Time)
