About the Role

The Finance & HR Officer will play a critical role in supporting day-to-day financial operations, human resource management, payroll administration, and organizational compliance.

Working closely with the Finance and Operations Manager, Country Team Lead, and headquarters HR team, the successful candidate will help ensure efficient resource utilization, strong internal controls, and compliance with donor and statutory requirements.

Key Responsibilities

Finance and Compliance Responsibilities

The Finance & HR Officer will provide support in financial management and regulatory compliance.

Key responsibilities include:

  • Processing payment requests, supplier invoices, travel advances, and staff reimbursements.

  • Supporting accounts payable, accounts receivable, and cash management processes.

  • Assisting with monthly financial reporting, budget monitoring, forecasting, and variance analysis.

  • Coordinating payroll processing and statutory deductions.

  • Managing statutory remittances including PAYE, SHIF, Housing Levy, NSSF, HELB, and NITA contributions.

  • Supporting bank reconciliations and maintaining accurate financial records.

  • Ensuring compliance with donor regulations, internal policies, and Kenyan statutory requirements.

  • Preparing and maintaining audit-ready financial documentation.

  • Supporting transaction processing and reporting using NetSuite and other ERP systems.

Human Resource Management Responsibilities

The role involves supporting the full employee lifecycle and ensuring effective HR service delivery.

Duties include:

  • Coordinating recruitment, onboarding, and employee induction activities.

  • Maintaining confidential employee records and HR information systems (HRIS).

  • Managing probation reviews, employee confirmations, contract renewals, and staff exits.

  • Supporting performance management and staff development initiatives.

  • Administering employee leave, benefits, and medical insurance schemes.

  • Assisting with employee relations, disciplinary matters, and grievance handling.

  • Ensuring compliance with Kenyan labour laws and organizational HR policies.

  • Preparing HR reports, workforce analytics, and compliance documentation.

Administration and Procurement Support

The successful candidate will also support administrative and procurement functions.

Responsibilities include:

  • Assisting with procurement processes, quotations, vendor evaluations, and supplier documentation.

  • Maintaining procurement, contract, and asset records.

  • Coordinating office supplies and facility maintenance activities.

  • Managing relationships with service providers and vendors.

  • Supporting travel arrangements, workshops, meetings, and logistical coordination.

Educational Requirements

Applicants should possess:

  • A Bachelor's degree in Finance, Accounting, Human Resource Management, Business Administration, Commerce, or a related field.

Professional Qualifications

Candidates should have:

  • CPA Part II qualification or higher.

  • Membership with the Institute of Human Resource Management (IHRM).

  • Certified Human Resource Professional of Kenya (CHRP-K) certification.

  • Additional certifications in HR, procurement, or compliance will be considered an added advantage.

Experience Requirements

Successful candidates should demonstrate:

  • A minimum of four years of relevant professional experience.

  • Experience in finance, payroll administration, human resources, and compliance functions.

  • Previous experience in an international NGO or donor-funded organization is highly desirable.

  • Strong understanding of Kenyan labour laws and statutory compliance requirements.

  • Practical experience using NetSuite or similar Enterprise Resource Planning (ERP) systems.
