About the Role

The Logistics and Admin Officer will play a dual role in managing logistics activities and supporting administrative operations. This position requires strong organizational skills, attention to detail, and the ability to coordinate multiple responsibilities efficiently.

Candidates should be capable of ensuring timely product deliveries, maintaining accurate documentation, and supporting the smooth running of daily office activities.

Key Responsibilities

Logistics Coordination

  • Plan and coordinate the movement of products to customers, distributors, and branch locations.

  • Ensure efficient distribution processes and timely delivery of goods.

  • Collaborate with transport providers and internal teams to maintain delivery schedules.

  • Monitor logistics operations to improve efficiency and service quality.

Delivery Planning and Monitoring

  • Prepare delivery schedules and dispatch plans.

  • Track shipments and delivery timelines.

  • Ensure products reach designated destinations on schedule.

  • Address delivery delays and logistics-related challenges promptly.

Documentation and Record Management

  • Ensure all deliveries are supported by accurate documentation.

  • Prepare and manage:

    • Waybills

    • Delivery notes

    • Invoices

    • Transport records

  • Maintain organized logistics files and transaction records.

Loading and Offloading Supervision

  • Coordinate loading and offloading activities.

  • Ensure proper handling of products during transportation.

  • Support adherence to safety and operational procedures.

  • Monitor product movement to minimize losses and damages.

Transportation Cost Management

  • Monitor transportation expenses and logistics costs.

  • Identify opportunities to improve efficiency and reduce operational costs.

  • Recommend cost-saving initiatives without compromising service quality.

  • Support budgeting and logistics planning activities.

Logistics Issue Resolution

  • Track deliveries and monitor transportation performance.

  • Investigate and resolve logistics-related concerns.

  • Communicate effectively with stakeholders regarding delivery status.

  • Implement corrective actions where necessary.

Administrative Responsibilities

Office Administration

  • Support day-to-day administrative activities across the organization.

  • Ensure office operations run efficiently and effectively.

  • Coordinate administrative processes and internal communications.

  • Assist with organizational and operational requirements.

Records and Documentation Management

  • Maintain and update:

    • Staff records

    • Company files

    • Contracts

    • Official business documents

  • Ensure records are properly organized, secure, and accessible when needed.

Office Supplies and Asset Management

  • Monitor inventory levels of office consumables.

  • Ensure adequate availability of office supplies and equipment.

  • Coordinate procurement requests and replenishment activities.

  • Support effective management of company resources.

Educational Requirements

Applicants should possess:

  • Bachelor's Degree (BA/BSc) in:

    • Business Administration

    • Logistics and Supply Chain Management

    • Procurement

    • Management

    • Related Discipline

OR

  • Higher National Diploma (HND) in a relevant field.

Professional Qualifications

Relevant professional certifications in logistics, procurement, administration, or supply chain management will be considered an advantage.

Experience Requirements

Candidates should have:
