Job Overview

The Accounts Assistant – VAT will be responsible for overseeing VAT exemption processes, maintaining accurate VAT records, conducting reconciliations, and supporting compliance and audit activities.

Key Responsibilities

VAT Administration and Compliance

The successful candidate will:

  • Prepare VAT exemption applications on a timely basis and coordinate submissions with relevant stakeholders.

  • Follow up on submitted applications to ensure approved certificates are received within the required timelines.

  • Notify suppliers when VAT exemption certificates are ready for collection and ensure timely collection before expiry.

  • Reverse accrued VAT amounts once suppliers collect their certificates.

  • Maintain compliance with applicable VAT regulations and internal procedures.

VAT Reporting and Reconciliations

Responsibilities include:

  • Preparing and sharing weekly VAT schedules and progress reports with relevant stakeholders.

  • Conducting monthly reconciliations to ensure all VAT applications are accurately accounted for.

  • Investigating discrepancies and taking corrective action promptly.

  • Preparing monthly aging schedules to monitor outstanding VAT balances.

  • Ensuring VAT account balances remain within approved timelines and reporting any exceptions.

Risk Management and Internal Controls

The role also involves:

  • Identifying and mitigating risks associated with delayed, expired, or unclaimed VAT certificates.

  • Monitoring VAT accounts to prevent prolonged outstanding balances and potential revenue losses.

  • Escalating high-risk or non-compliant VAT matters to management for timely resolution.

  • Supporting initiatives aimed at strengthening financial controls and regulatory compliance.

Documentation and Record Management

The Accounts Assistant will:

  • Maintain accurate and organized VAT records in both physical and electronic formats.

  • Ensure proper filing and safe storage of all supporting documentation.

  • Prepare and provide VAT schedules and supporting documents during internal and external audits.

  • Ensure all time-barred VAT applications are addressed within the required timelines.

Team Support and Collaboration

Additional responsibilities include:

  • Providing support to internal stakeholders and clients of the finance unit.

  • Assisting colleagues within the department to improve knowledge and performance.

  • Training designated backup personnel to ensure continuity of operations.

  • Performing additional duties assigned by management from time to time.

Educational Requirements

Applicants should possess:

  • A Bachelor's Degree in Business, Accounting, Finance, or a related field.

Professional Qualifications

Candidates should have:

  • At least CPA Intermediate Level or an equivalent professional accounting qualification.

Experience Requirements

Applicants should demonstrate:

  • A minimum of one (1) year of experience in accounting, finance, tax, audit, or a related field.

  • Experience handling VAT processes, reconciliations, or tax compliance activities will be an added advantage.
